Every agenda is written as a list of topics and run as a race against the clock. The arithmetic takes a minute and is almost never done.

How this works

The Meeting Agenda Timer takes one row per item with the minutes it deserves and who is leading it. The total is what the agenda actually asks for, which is usually more than the meeting has: a six-item agenda in a thirty-minute meeting gives five minutes an item including the arriving, the apologies and the summary. Cutting an item before the meeting is easy; cutting it at minute twenty-eight is not.

What an agenda can hold

Minutes per item once the arriving, the screen sharing and the summary are taken out of the slot.

Five to ten minutes of any scheduled meeting is not agenda. Planning for the full nominal length is the most reliable way to lose the last item.

Frequently asked questions

How much of a meeting is not agenda?

Five to ten minutes of a scheduled hour, reliably. People arrive, a screen has to be shared, the last meeting overran. Planning an agenda for the full nominal length is the most common reason meetings end without the last item, and building in the gap is the cheapest fix available.

Who should the owner column be for?

Whoever speaks first on that item, not whoever cares most about it. Naming them in advance is what stops the first two minutes of every item being a pause while everyone decides who begins.

Should the timer be visible during the meeting?

For anything under an hour, yes โ€” put the countdown timer on the shared screen for each item. It converts an interruption into a shared fact, and nobody has to be the person who says we are running out of time.

How this works

Items are summed, with no allowance added automatically: the sheet reports what the agenda asks for, and the decision about slack belongs to the person running the meeting. The average and longest item are shown because an agenda dominated by one item is a different problem from one with six equal ones, and the fix differs โ€” the first needs a separate meeting, the second needs fewer items.
